Cloud File Storage for Business: What Safe Sharing Actually Looks Like
Cloud storage is not automatically safe or unsafe. The platform matters, but the bigger difference is usually how access, sharing and recovery are configured.
For most small professional-services businesses, the useful question is not “which cloud drive is best?” It is “can we control who has access, prove what was shared, remove access cleanly and recover data when somebody makes a mistake?”
Use business identities, not personal accounts
Business data should sit under accounts the organisation controls. Personal Dropbox, Google Drive or consumer Microsoft accounts make offboarding, audit and recovery much harder.
Make sharing deliberate
Review default link types, guest access and whether anonymous “anyone with the link” sharing is actually required. External sharing is often necessary; indefinite uncontrolled sharing usually is not.
Use permissions that follow roles
People should have access because their role requires it, not because a folder was shared years ago and nobody reviewed it. Group-based access is easier to maintain than one-off permissions scattered across hundreds of files.
Control devices that reach business data
If sensitive files can be downloaded to any unmanaged device, the cloud platform's security only solves part of the problem. Identity and device controls should work together.
Do not confuse version history with backup
Version history and recycle bins are useful recovery features, but they are not always a complete backup strategy. Recovery design should reflect what data matters, how quickly it must be restored and which failure scenarios the native platform does not cover.
Review guest and former-user access
Old guests, external collaborators and former staff can accumulate over time. Access review belongs in the same lifecycle process as onboarding and offboarding.
For Microsoft 365 environments, our tenant-settings guide covers the wider configuration around sharing, identity and application access. If you want a broader control check, use the IT Security Self-Check.
